1.

The minimalist → Voice Memos or JPR

If you record fewer than ~10 times a month and only want a transcript to skim, you don't need a subscription product. Voice Memos is preinstalled and as of iOS 26 auto-transcribes via Apple's new SpeechTranscriber API (on-device, faster than Whisper per Apple). Just Press Record (~$5–7 one-time, region-dependent) is the upgrade if you want better Apple Watch support and iOS 18 / watchOS 11 features (Action Button, Double Tap).

When to upgrade: when you're recording with another person and the unattributed wall-of-text transcript stops being usable. That's when to look at Bonfiyah Free — speaker separation at no cost, 120 min/month, on a single device. No card required.

2.

The Zoom regular → Otter or Fireflies

If 80%+ of your conversations are on Zoom, Teams, or Google Meet, a meeting-bot product is genuinely the most efficient setup. Otter still has the most mature bot, the best calendar integrations, and the largest user base.

When to upgrade: when participants start asking why a bot joined the call (privacy concerns), when you record any in-person conversations (the bot can't join those), or when you need cross-meeting reasoning — "what did we decide about pricing across the last six calls?" Bonfiyah's Pro AI tier handles all three. Try the first 60 days at $24.99/mo (then $34.99/mo) and decide whether the cross-recording layer earns its keep.

Privacy note: A 2025 California class-action lawsuit (NPR coverage Aug 15, 2025) alleges OtterPilot recorded participants without two-party consent and that guest audio was used to train Otter's models. Their privacy policy openly states audio and transcripts are used to train their proprietary AI. Read the lawsuit, then read their current ToS, and decide whether the bot is worth the risk profile.

3.

The in-person professional → Bonfiyah

This is where Bonfiyah is built. Therapists, attorneys, doctors, journalists, sales reps in regulated industries, consultants — anyone whose conversations happen in rooms with people, not on screens with windows.

The features that matter for this archetype: built-in two-party consent management with state-law guidance, persistent speaker profiles across recordings, on-device live captioning (full transcription runs on our backend and the transcript is deleted from the transcription provider immediately after processing; audio deleted from our servers within 7 days), and (in Pro AI) Promise Tracker for the commitments you make in those rooms.

No competitor in the category covers all four. Notta handles team transcription well but doesn't manage consent. Otter is bot-focused. JPR doesn't separate speakers.

Pricing for this archetype: Pro at $14.99/mo for the first 2 months, then $24.99/mo. Multi-device cloud sync between iPhone, iPad, and Mac is included. Cancel anytime.

4.

The dedicated-device fan → Plaud NotePin

Plaud ships three current models — Note ($159), NotePin/NotePin S ($159–179), and the new Note Pro ($179, AMOLED, shipped Oct 2025) — all hardware-led wearable recorders. The clip-on form factor is unbeatable for standing conversations or hallway-track moments where pulling out a phone breaks the rapport.

When to think twice: if you already carry an iPhone, Plaud is a $159–$179 second device that does what your existing device can do. Charging, pairing, "where's my recorder?" — these are real costs. Plaud runs $99.99–$239.99/year subscription on top of the hardware vs. Bonfiyah Pro AI at $24.99/mo intro / $34.99/mo standard with no hardware to buy — and Pro AI ships eighteen cross-recording AI surfaces Plaud doesn't have at any tier, plus structured Attorney-Client & Doctor-Patient Privilege markings Plaud doesn't ship.

If form factor matters more than software: Plaud's hardware is the right answer. If software intelligence matters more, Bonfiyah's Pro AI features have no analogue in Plaud.

5.

The stakes carrier → Bonfiyah Pro AI

If your conversations have downstream consequences — a deposition, a clinical note, a deal-defining negotiation, a relationship that depends on remembering what was said — the audio file isn't the artifact. The actionable layer over the audio is.

Promise Tracker watches every recording for commitments. Truth Layer flags when someone said two contradictory things across two meetings two weeks apart. Pre-Brief generates a one-page recap before your next meeting with the same person, automatically. Proactive Notifications surfaces overdue commitments and fresh contradictions before the next meeting where the topic comes up.

No other product in this category builds at the cross-recording layer. Otter, Notta, JPR, Plaud, and Voice Memos all stop at "here's the transcript." Bonfiyah Pro AI keeps going.

Pricing: $24.99/mo for the first 60 days, then $34.99/mo. Cancel anytime in iPhone Settings. 60 days is enough time to see whether the cross-recording layer earns its place in your work — the value compounds the more recordings it has to reason across.
